Overview

An exceptional opportunity has arisen for an experienced Executive Travel Coordinator to support a prominent Principal, his family, and wider family office within a highly sophisticated and fast-paced private office environment.

This role combines luxury travel management, lifestyle coordination, concierge services, and executive support, ensuring the seamless execution of complex international travel and personal logistics. The successful candidate will be responsible for delivering world-class service standards while managing highly detailed itineraries, coordinating luxury experiences, and providing on-the-ground support during travel.

About the Principal

The Principal oversees a substantial portfolio through a specialist finance company focused on high-advance lending to real estate developers. The wider family office also manages significant philanthropic interests and charitable initiatives, requiring exceptional coordination across both business and personal priorities.

The household consists of the Principal, his wife, and six children aged between 4 yrs and 26 yrs. Travel arrangements frequently involve extended family members, household staff, and multiple service providers, requiring meticulous planning and flawless execution.

Key Responsibilities

Luxury Travel Management

  • Lead the planning and execution of complex international travel arrangements for the Principal, family members, and accompanying staff.
  • Coordinate private aviation, commercial flights, helicopters, yachts, rail travel, luxury accommodation, ground transportation, dining reservations, and bespoke experiences.
  • Create detailed itineraries covering all travel logistics, schedules, preferences, and contingency planning.
  • Conduct destination research and proactively identify exceptional travel, dining, and lifestyle opportunities.
  • Liaise directly with luxury hotels, resorts, private aviation providers, concierge teams, transport companies, and specialist service providers.
  • Manage all travel changes, disruptions, and last-minute requests with professionalism and efficiency.

On-the-Ground Travel Support

  • Travel internationally alongside or ahead of the Principal and family to ensure seamless execution of travel plans.
  • Conduct site visits and inspections of hotels, restaurants, activities, and venues prior to arrival.
  • Act as the primary point of contact throughout travel, providing real-time support and troubleshooting.
  • Ensure all daily schedules, activities, and logistical arrangements operate smoothly and according to plan.
  • Maintain exceptional service standards while anticipating needs before they arise.

Lifestyle & Concierge Services

  • Coordinate luxury lifestyle requests and bespoke experiences.
  • Manage reservations, bookings, sourcing requests, and special arrangements globally.
  • Support personal and family-related requirements with complete discretion and professionalism.
  • Build and maintain relationships with trusted luxury suppliers and service partners worldwide.

Coordination & Administration

  • Work closely with the Executive Assistants, household staff, and external vendors to ensure alignment across all travel and family operations.
  • Support executive scheduling and administrative tasks when not travelling.
  • Maintain accurate records, travel documentation, preferences, and operational procedures.
  • Provide detailed reporting and updates on travel plans, budgets, and logistics.

Candidate Profile

The successful candidate will be highly organized, service-driven, and comfortable operating within a demanding private office environment where precision and responsiveness are paramount.

Requirements

  • Minimum of 3 years' experience within luxury travel, hospitality, lifestyle management, concierge services, executive support, or a related field.
  • Previous experience supporting UHNW individuals, family offices, private households, or luxury clientele is strongly preferred.
  • Fluent English essential.
  • Strong working proficiency or fluency in French required.
  • Exceptional attention to detail with a highly structured and organized approach.
  • Strong problem-solving skills with the ability to remain calm under pressure.
  • Excellent interpersonal and stakeholder management skills.
  • Highly proactive, resourceful, and capable of anticipating needs.
  • Professional, polished, and discreet at all times.
  • Comfortable managing multiple priorities in a fast-moving environment.

Travel & Flexibility

  • Extensive international travel is required.
  • Candidates must be available to travel globally, often with as little as 48 hours' notice.
  • Ability to remain on location for extended periods while supporting family travel.
  • Valid passport and ability to obtain any necessary travel visas and documentation.
  • Fully remote when not travelling.
