Job Description

Lead EA & Private Office Operations Manager to CEO | Europe | Turkey

Tiger Private is delighted to present an exceptional opportunity for an accomplished Executive Assistant and Private Office professional to support the Founder and CEO of a globally recognised technology, education and investment group.

This is a senior leadership role combining Executive Assistant, Personal Assistant, Private Office and operational management responsibilities. Supporting a highly active Founder with international business, investment, philanthropic and personal interests, the successful candidate will sit at the centre of a complex global ecosystem spanning Europe and beyond.

This is a highly hands-on leadership position. Whilst the successful candidate will oversee and develop a team of Executive Assistants and support staff, they must also be willing to personally execute critical executive and personal support tasks whenever required. This is not a purely managerial role and will require an individual who is equally comfortable leading teams, implementing processes and systems, and personally handling complex travel arrangements, calendar management, confidential matters, family logistics and urgent requests. Candidates must be comfortable travelling extensively and spending extended periods in these locations. Relocation would be advantageous but is not essential.

Key Requirements

Please note that the following requirements are considered essential for success in this position:

  • Proven hands-on experience managing highly complex executive calendars across multiple time zones
  • Ability to operate at pace whilst managing multiple competing priorities simultaneously
  • Comfortable working under pressure and responding effectively to short-notice requests
  • Available for frequent international business travel, often at short notice
  • Flexible and willing to work outside traditional business hours, including weekends and public holidays when required
  • Fluent English, both written and spoken; additional languages would be highly advantageous
  • Exceptional organisational skills, attention to detail and ability to remain calm under pressure
  • Strong sense of ownership, urgency and accountability

Highly Desirable

  • Willingness to relocate to Bremen (Germany), Bodrum (Turkey) or Sofia (Bulgaria)
  • EU passport or valid European residence permit
  • Previous experience supporting a Founder, CEO, UHNW Principal or Family Office at a senior level

Key Responsibilities

Executive & Personal Support

  • Provide direct Executive and Personal Assistant support to the Founder and CEO
  • Manage highly complex calendars across multiple time zones and jurisdictions
  • Coordinate extensive international travel, including private aviation, accommodation, visas, transfers and VVIP protocols
  • Manage personal logistics, confidential matters, family coordination and household-related requests
  • Handle urgent and last-minute requests with efficiency and discretion
  • Act as a trusted gatekeeper and advisor, ensuring the CEO's time is protected and priorities are managed effectively

Leadership & Private Office Management

  • Lead, mentor and develop a team of 3–4 Executive Assistants
  • Oversee a wider support network of approximately 10–15 personnel, including drivers, chefs, housekeepers and coordinators
  • Establish clear accountability, workflows, SOPs and operating standards across the private office
  • Ensure complete visibility of tasks, priorities and deliverables across the team
  • Drive a culture of responsiveness, ownership and operational excellence
  • Act as the primary point of contact between the CEO, Chief of Staff and wider support network

Operations & Project Management

  • Oversee an exceptionally demanding schedule involving up to 120–150 activities per week
  • Ensure meetings, travel and communications are flawlessly planned and executed
  • Implement systems and processes to improve efficiency, visibility and execution
  • Manage complex projects including relocations, private events, VIP visits, health-related matters and personal projects
  • Anticipate issues before they arise and implement solutions proactively

Stakeholder Management

  • Coordinate with senior executives, advisors, family members and service providers
  • Build trusted relationships across a broad network of internal and external stakeholders
  • Ensure all communications are handled professionally and confidentially

Candidate Profile

  • Minimum 15 years' experience supporting Founders, CEOs, UHNW Principals or Family Offices
  • Significant experience managing Executive Assistant teams, private offices or support functions
  • Proven ability to operate successfully within complex, high-performance environments
  • Strong operational leadership skills combined with a willingness to remain hands-on
  • Exceptional calendar, travel and logistical management experience
  • Comfortable overseeing highly complex executive operations across multiple locations and time zones
  • Exceptional attention to detail and ability to manage multiple priorities simultaneously
  • Strong emotional intelligence and stakeholder management skills
  • Highly resilient, adaptable and solutions-driven
  • Strong digital literacy, including Microsoft Office, productivity platforms and AI tools
