We are seeking a highly organized, proactive, and professional Office Manager to oversee daily office operations and provide executive-level administrative support within a fast-paced, high-end luxury environment. This role requires a resourceful individual who can manage multiple priorities, maintain strong vendor relationships, and ensure the smooth running of office functions while handling confidential information with discretion.
Key Responsibilities
- Manage the day-to-day operations of the office, ensuring a seamless and efficient working environment.
- Provide Executive Assistant support to senior leadership, including managing complex calendars, coordinating meetings, and arranging domestic and international travel, often at short notice.
- Monitor and manage travel expenses, invoices, and supporting documentation, ensuring all records are accurately maintained within company systems.
- Build and maintain strong relationships with local vendors, suppliers, and service providers.
- Coordinate office-related projects, including office setup, fit-out activities, and relocation initiatives.
- Liaise with external contractors and internal stakeholders to ensure projects are delivered on time and to a high standard.
- Identify potential issues proactively and implement practical solutions with minimal supervision.
- Support administrative processes and contribute to the continuous improvement of office operations.
- Ensure confidentiality and professionalism in all aspects of the role.
Requirements
- Previous Office Manager, Executive Assistant, Operations Coordinator, or similar experience.
- Prior experience working in Dubai with a strong understanding of local suppliers, service providers, and business practices.
- Experience supporting senior executives and managing complex travel arrangements.
- Strong organizational and project coordination skills with the ability to manage multiple priorities simultaneously.
- Professional, polished, and comfortable working within a luxury or high-end business environment.
- Proactive, solution-oriented, and able to work independently without requiring close supervision.
- High level of discretion and ability to handle sensitive and confidential information.
- Technically proficient with modern office software, systems, and collaboration tools.
- Excellent communication and interpersonal skills.
- Fluent English is essential.
