Office Manager / Bookkeeping Assistant – Psychotherapy Practice

Tiger Recruitment is partnering with a busy psychotherapy practice based in Midtown East to hire an Office Manager with excellent QuickBooks skills, and experience in bookkeeping and accounts receivable.

 

The ideal candidate is a confident user of AI software such as Claude, Perplexity, and QuickBooks’ AI functionality. You must be a self-starter who is comfortable working in fast-paced, high-pressure environments - ie. a startup or private healthcare background would be advantageous.

 

You will work alongside an Executive Assistant.

 

WHAT YOU’LL DO

  • Oversee day-to-day office and practice operations
  • Coordinate scheduling, appointments, and calendar management for the practice
  • Prioritize and track urgent operational tasks to support the day-to-day running of the office
  • Utilize Claude, Perplexity, and other AI platforms to optimize workflow and task management
  • Handle billing, invoicing, accounts receivable, and basic bookkeeping tasks using QuickBooks
  • Assist with tax-related administrative and financial matters
  • Monitor expenses and support profitability and budget tracking
  • Liaise with vendors, service providers, and external partners as needed
  • Support operational and administrative special projects across the practice

 

 

WHO YOU ARE

  • Experienced Operations professional or Practice Manager available at short notice
  • Financial Literacy: Highly organized and detail-oriented, with excellent financial and accounting experience
  • Soft Skills: Discrete, experienced in working with HNW clients in a concierge style
  • Technical Skills: Tech-savvy, with hands-on experience using AI tools and automation platforms
  • Work Style: Proactive, resourceful, and able to manage multiple priorities independently
