Our client
Our client is a leading global private equity firm, currently expanding its boutique Mayfair office. With an exciting period of growth ahead, they are looking for a proactive Office Manager & Executive Assistant to join on a temporary basis, with a strong possibility of the role becoming permanent for the right candidate.

The role
This is a varied, hands-on role combining office management with dedicated EA support to the Managing Directors. You’ll be the central point of contact for all things workplace and facilities, keeping the office safe, well-run and welcoming, while supporting senior leadership with diaries, travel, expenses and meetings. It’s a fantastic opportunity for an entrepreneurial self-starter to make the role their own.

Key responsibilities

Office & facilities management

  • Oversee day-to-day office operations as the first point of contact for employees, visitors, building access and meeting room bookings
  • Manage vendors, maintenance, supplies and pantry services, liaising with the landlord, building management and contractors
  • Restock supplies weekly and organise office lunches, catering for dietary requirements
  • Coordinate onboarding and offboarding with the US based HR team, including right-to-work checks and documentation
  • Plan and deliver company events, wellbeing activities and engagement initiatives, managing suppliers and budgets
  • Coordinate workplace technology, including IT installations, AV, access management and business continuity
  • Maintain health and safety, security and GDPR compliance, including emergency procedures and workplace records

Executive assistance

  • Provide EA support to the Managing Directors, managing diaries and competing priorities across multiple time zones
  • Coordinate UK and international travel end-to-end, including flights, hotels, visas, ground transport and detailed itineraries
  • Prepare and process expenses, reconciling corporate card and travel spend
  • Organise meetings, prepare and bind materials, compile attendee briefings, take board and committee minutes and track actions
  • Support with ad hoc projects as needed

About you

  • Degree educated
  • 3–5 years’ experience in office management within a fast-paced Finance or professional services environment
  • Proven EA or senior administrative experience supporting C-suite or senior leadership within financial services
  • Working knowledge of UK health and safety, fire safety, first aid and UK GDPR
  • Highly discreet, with experience handling confidential information
  • Confident across Microsoft 365, Teams and ticketing systems
  • An entrepreneurial, roll-up-your-sleeves approach, with sound judgement in fast-changing situations
  • A positive, team-oriented attitude and a genuine desire to contribute to office culture
  • Eligible to work in the UK
