Role: Office Assistant

Location: Abu Dhabi

Contract: Part-time (20 hours per week), 6 months

Salary: AED 19,000 per month (pro rata)

 

Role Summary

The Office Assistant supports the Executive Office by handling key administrative and coordination tasks that help the team run smoothly and professionally. Reporting to the Senior Executive Assistant and Strategic Operations Partner, the role focuses on travel arrangements, visitor coordination, and assistance with office events and community activities.

 

This is a six-month, part-time position with the possibility of extension and progression to a full-time role.

 

Main Responsibilities

Travel & Visitor Support

  • Help organise business travel, including flights, hotels, transport, and any required visas or paperwork, following company guidelines.
  • Create and share clear travel schedules for executives and senior stakeholders, ensuring all details are accurate and easy to access.
  • Work with travel agents and internal teams to manage bookings, changes, and cancellations, escalating issues when needed.
  • Support candidate and employee travel or relocation tasks in coordination with HR.
  • Arrange visitor access, badges, parking, and meeting schedules.
  • Book drivers and local transport for visiting guests and executives.
  • Prepare welcome details for visitors, such as agendas, directions, and key contacts.

 

Events & Community Activities

  • Assist with organising office events and initiatives that support engagement within the community.
  • Help manage gifts, including sourcing items, tracking deliveries, and keeping simple budget or stock records.
  • Support social clubs and community groups with scheduling, room bookings, supplies, and communications.
  • Assist with event logistics such as venues, catering, transport, and on-site setup.
  • Coordinate with suppliers to request quotes and confirm arrangements.
  • Gather and share event photos or materials after events.

 

Executive Office Support

  • Support special projects led by the Executive Office when required.
  • Assist with meeting coordination and general office communications.
  • Provide additional help to the Executive Office team during busy periods or staff absences.

 

Requirements

  • 3–5 years of experience in an administrative, coordination, hospitality, or office support role (internships and part-time experience considered).
  • A degree or diploma is preferred but not essential with relevant experience.
  • Comfortable using Microsoft Office tools, including Outlook, Word, Excel, and presentations.
  • Strong organisational skills and attention to detail.
  • Professional and approachable, with confidence interacting with senior leaders and visitors.
  • Eager to learn and take on more responsibility over time.
  • Fluent in English; Arabic is a plus.
