Job Description

We are seeking a highly organised and proactive Project Coordinator to support the successful delivery of multiple client projects from initiation through to completion. Working closely with senior consultants and internal stakeholders, you will coordinate project activities, manage schedules, maintain documentation, and ensure projects are delivered on time and to the highest standard.

This role requires exceptional organisational skills, the ability to manage multiple priorities simultaneously, and a customer-focused approach. The successful candidate will act as a central point of coordination, building strong relationships with clients and internal teams while driving operational excellence and continuous process improvement.

 

Key Responsibilities:

Project Coordination

  • Coordinate the end-to-end delivery of multiple client projects, ensuring milestones, deadlines, and deliverables are achieved.
  • Manage complex project schedules, meetings, travel arrangements, and logistics across multiple stakeholders and time zones.
  • Monitor project progress, identify risks or delays, and proactively support resolution to maintain delivery timelines.
  • Support consultants throughout the project lifecycle by coordinating activities, documentation, and communications.
  • Identify opportunities to improve project delivery processes through the effective use of technology and digital tools.

 

Stakeholder & Client Management

  • Act as a key point of contact for clients, project participants, and internal stakeholders.
  • Build and maintain strong working relationships while providing a high level of customer service.
  • Coordinate communications across multiple stakeholders to ensure projects progress efficiently.
  • Support senior consultants with day-to-day project coordination and administrative requirements.

 

Documentation & Reporting

  • Prepare, format, edit, and proofread professional reports, presentations, proposals, and client documentation.
  • Ensure all project documentation is accurate, consistent, and completed within agreed deadlines.
  • Maintain project records, documentation, and reporting systems.
  • Produce regular project updates and status reports for internal stakeholders.

 

Financial & Administrative Support

  • Support project financial administration, including invoicing, expense processing, and tracking project costs.
  • Maintain accurate project data within internal systems.
  • Assist with monitoring budgets, receivables, and financial reporting.
  • Ensure project files and documentation are maintained in accordance with company procedures.

 

Business Development Support

  • Assist with the preparation of proposals, presentations, and client materials.
  • Maintain accurate records of business development activities and opportunities.
  • Support consultants with pipeline tracking and administrative coordination for new business initiatives.

 

Requirements:

  • Previous experience in a Project Coordinator, Project Support, Executive Assistant, Programme Coordinator, or Operations role within Legal, Investments or Professional Services.
  • Experience supporting multiple projects simultaneously within a fast-paced professional environment.
  • Experience working with senior stakeholders and managing competing priorities.
  • Excellent project coordination and organisational skills.
  • Strong written and verbal communication skills.
  • Exceptional attention to detail with the ability to produce accurate, high-quality work.
  • Ability to prioritise workloads and manage multiple deadlines effectively.
  • Strong stakeholder management and relationship-building skills.
  • Excellent problem-solving and organisational abilities.
  • Professional, proactive, and service-oriented approach.
  • High level of discretion when handling confidential information.
  • Strong proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Comfortable using digital tools and AI technologies to improve efficiency and productivity.
  • Ability to quickly learn new systems and processes.
