Senior Administrator / PA (Clinical Services)

Salary: up to £35,000 per annum 
Location: Fully remote, UK based
Hours: 22.5 to 37.5 hours per week
Contract:  Permanent

A specialist independent service supporting children and young people with neurodevelopmental, neurological and psychological needs is seeking an experienced Senior Administrator / PA to join their team. The organisation works closely with families, schools, case managers and legal professionals, delivering high quality clinical and medico-legal services across the UK. The work is sensitive, time critical, and detail oriented, so professionalism, precision and excellent judgement are key.

The Role

This is a senior administrative and PA position that requires someone confident managing complex workloads, balancing priorities, and working to tight deadlines. You will be a trusted point of contact for families and external professionals and support the smooth operational running of a busy clinical and medico-legal service. Strong clerical skills, accuracy, and advanced digital competence are essential. This is not an entry-level or general admin role.

Key Responsibilities

- Managing a high-volume inbox and triaging urgent matters
- Preparing quotes, issuing documentation, and tracking enquiries
- Formatting and proof-reading reports to a professional and medico-legal standard
- Tracking consent forms, signed documents and report returns
- Coordinating clinicians and maintaining case trackers
- Scheduling and diary management across multiple calendars
- Raising invoices, tracking payments and reconciling accounts
- Communicating professionally with parents, clinicians, solicitors and schools
- Maintaining accurate and secure records using digital systems
- Supporting GDPR and data-security processes

Essential Requirements

- At least five years of experience in a senior administrative or PA role
- Background in a fast-paced, professional environment such as healthcare, legal, consultancy or professional services
- Advanced Microsoft Word skills, especially for long document formatting
- Strong Excel skills including formulas and workflow tracking
- Experience with invoicing and payment reconciliation
- Ability to independently manage complex workflows
- Exceptional attention to detail and accuracy
- Confidence handling confidential and sensitive information
- Clear, professional written and verbal communication

Desirable

- Experience in clinical, medico-legal or therapeutic services
- Familiarity with case-management or patient-record systems
- Experience supporting senior professionals
- Confidence working independently in a remote environment
