Overview

We are exclusively supporting a prestigious Family Office and investment group in Liechtenstein in the search for an exceptional Executive Assistant to provide dedicated support to its Founder.

This is a rare opportunity for a highly experienced Executive Assistant who thrives in a fast-paced, entrepreneurial environment where absolute discretion, sound judgement and flawless execution are essential. Working as the Founder's trusted right hand, you will play a pivotal role in ensuring the smooth management of both strategic and day-to-day business activities, whilst acting as a key liaison across senior stakeholders, board members, advisors and external partners.

The successful candidate will be immediately available (or available at short notice) and will bring extensive experience supporting senior executives, entrepreneurs or principals within a Family Office, financial services, private investment or similarly demanding international environment.

Key Responsibilities

Reporting directly to the Founder, your responsibilities will include:

  • Acting as the primary point of contact for the Founder, managing all day-to-day executive support requirements.
  • Providing comprehensive diary management across multiple jurisdictions, ensuring efficient scheduling of meetings, business commitments and personal appointments where appropriate.
  • Coordinating complex international travel arrangements, including commercial and private aviation, accommodation, ground transportation, visas and detailed itineraries.
  • Preparing presentations, board packs, financial reports, briefing documents and high-quality correspondence to an exceptional standard.
  • Managing confidential documentation, sensitive communications and information with the highest level of professionalism and discretion.
  • Organising Board meetings, Executive Committee meetings and shareholder meetings, including agenda preparation, minute taking, follow-up actions and coordination with participants.
  • Acting as a key liaison between the Founder, Board members, senior leadership team, investors, advisors and external stakeholders.
  • Supporting strategic projects, business initiatives and cross-functional assignments, ensuring deadlines are met and priorities are effectively coordinated.
  • Monitoring action points and ensuring timely follow-up across multiple workstreams.
  • Coordinating internal and external events, business functions and corporate hospitality where required.
  • Supporting the Founder during business travel and attending meetings both domestically and internationally when required.
  • Identifying opportunities to improve administrative processes and implementing best practices to enhance efficiency across the office.
  • Providing additional executive and personal support as required, demonstrating complete flexibility and a proactive, solution-oriented mindset.

Candidate Profile

The successful candidate will possess:

  • A minimum of 10 years' experience supporting Founders, CEOs, Chairpersons, Partners or Ultra High Net Worth Individuals as an Executive Assistant or Personal Assistant.
  • Previous experience within a Family Office, private investment firm, financial services, professional services or another high-performance corporate environment would be highly advantageous.
  • Exceptional organisational and project coordination skills, with the ability to manage multiple competing priorities under pressure.
  • Outstanding communication and interpersonal skills, with confidence interacting at Board and executive level.
  • Absolute discretion, integrity and the ability to handle highly confidential information with professionalism.
  • A naturally proactive approach with excellent judgement, attention to detail and the ability to anticipate the needs of senior stakeholders.
  • Advanced proficiency across Microsoft Office, particularly Outlook, PowerPoint, Excel and Word, with the ability to produce executive-quality documentation and presentations.
  • Fluency in German, English and Italian is essential. French would be considered a strong advantage.
  • A flexible and adaptable attitude, including willingness to travel occasionally when required.
  • Immediate availability or the ability to commence employment at short notice is strongly preferred.
