Senior Team Assistant
Job Description
Senior Team Assistant
Up to £55,000
12 month FTC
City of London
We're looking for an experienced Senior Team Assistant to provide high-level administrative and technical support to a team of Investment Professionals within a global asset management organisation. Working with limited direction, you'll manage the day-to-day activities of senior executives and act as the primary liaison between them and a diverse group of internal and external contacts.
This is a great fit for someone who's organised, calm under pressure, and confident managing competing priorities without losing their composure, someone who builds strong working relationships with senior leaders and peers alike, and brings good judgement to everything they do.
Hybrid working 4:1
What You'll Do:
- Manage diaries for the team of investment professionals
- Arrange domestic and international travel (including multi-leg itineraries) for the team
- Process expenses
- Coordinate client visits and external meetings, including any catering if required
- Pull together materials for meetings, appointments and committees, using judgement to decide what needs escalating versus what can be handled directly
- Stay in close contact with executives while they're travelling, keeping information flowing in both directions
- Act as a go-to source of guidance on processes and procedures for colleagues when needed
- Take the lead on, or contribute to ad-hoc and ongoing projects
- Build, maintain and troubleshoot reports, databases and charts using advanced software tools, resolving data issues as they arise
- Provide reliable back-up cover for other assistants and join regular team meetings to stay aligned on departmental processes
- Spot opportunities to improve how things run, and help foster a collaborative, professional working culture
What You'll Need:
- Educated to A-level standard or equivalent
- Experience in a fast-paced administrative role within a corporate environment, preferably financial services
- Good organisational skills, with the ability to juggle multiple priorities under tight deadlines
- Strong communication and interpersonal skills, with a genuine customer-service mindset
- A self-starting, adaptable approach and be comfortable working independently and responding well to change
- Excellent attention to detail and sound judgement around confidential information
- Previous experience supporting executives or senior staff, including an element of project coordination
- A strong team ethic, with the confidence to make decisions on behalf of the group
- Experience working within a global organisation
- Excellent drafting, editing and proofreading ability
