About the Role

We are seeking a motivated and well-organized Team Assistant to support a busy office within a global professional services environment. The ideal candidate will play a key role in ensuring the smooth day-to-day running of the office while providing administrative and coordination support to a team of consultants and researchers. This is a dynamic and varied position requiring strong organizational skills, initiative, and attention to detail.

Key Responsibilities

Team & Project Support

  • Provide general administrative and coordination support to consultants and associates.

  • Assist with project documentation, reports, and formatting of presentations and proposals.

  • Maintain accurate records and update databases and CRM systems.

  • Track deadlines and support with project logistics and scheduling where required.

Office Coordination

  • Serve as a central point of contact for office operations, liaising with facilities, IT, and suppliers to ensure smooth functioning.

  • Manage meeting room bookings, visitor coordination, and general office upkeep.

  • Assist with onboarding logistics for new joiners, including workspace setup and coordination with HR and IT.

  • Oversee stationery, supplies, and office inventory management.

  • Support the organization of internal events, training sessions, and team activities.

Administrative Support

  • Handle correspondence, printing, scanning, and filing of documents.

  • Process invoices and expense reports in coordination with the finance team.

  • Coordinate courier deliveries, mail distribution, and travel bookings as needed.

  • Provide ad-hoc administrative support to the wider office when required.

Skills & Experience Required

  • 3–5 years of experience in an administrative, coordination, or office support role, preferably within a professional services or corporate environment.

  • Excellent organizational and time-management skills, with the ability to manage multiple priorities.

  • Strong communication and interpersonal skills, with a professional and approachable manner.

  • Proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel).

  • High attention to detail, reliability, and a proactive, can-do attitude.

  • Experience supporting multiple stakeholders and working within a team-oriented environment.
